General Information

Condominium living is a new experience to many, being a bit different from both a single-family residence and from apartment living. The interior of the unit is privately owned and the owner (together with the renter if there is one) is responsible for everything in the unit. The exterior of the building and all the grounds are the property and the responsibility of all the owners in common. In order to carry out this responsibility, the By-laws (required by the Attorney General) establish an Association of all unit owners and a Board of Directors who are elected by the Association to manage the Condominium. (Note: This is a very brief summary of the Declaration and the By-laws. It is suggested that you read the complete text, which was furnished with each unit upon purchase.)

Any questions not covered here can be referred to our management company or to any member of the Board.

The following information will address certain areas of common interest to all owners, or renters who are new to condominium living:

Association Unit Owners, Board of Directors and Management:
Perhaps you wonder about the relationship between you, your Board of Directors and your Management Company. The Board has engaged a management company to carry out the directions in the financial, administrative, maintenance, repair, daily operations, and security of your Association. Management is available Monday through Friday, 9:00am until 5:00pm.

Every association has a specific "Association Manager" who is experienced with your property. Any problems you may have should be addressed to the Association Manager first, preferably in writing. Depending upon the urgency of your concern, the Association Manager will then notify the Board for a quick response to solve any issues.

This is a real business, even though not-for-profit, and we are trying to run it in a manner which protects your investment and which makes it a nice place to live. We need your help, both in your cooperation and in volunteer work. Please let any member of the Board know if you are willing to volunteer your time for the further betterment of the community.

Presently, the Board meets quarterly. If there are any concerns you would like addressed at this meeting, please have them in writing and send to the Association Manager so that it will be included in the next agenda.

Monthly Fees:
In order to carry out the management responsibility, owners are charged a monthly fee. These funds pay for maintenance and repair of the property, insurance (not personal insurance), grounds maintenance, snow removal, management costs, etc. Your monthly condominium fee is due on the first of every month and is considered late and subject to late charges and interest if not postmarked or received in the office of our management company by the 15th. In the event that you do not receive a statement, it is your responsibility to remember to mail your condominium fee in on time. Your check is to be made payable to Fieldstone Estates Condominium Association and mailed to Evergreen Management, Inc., 17 Commerce Drive, Bedford, New Hampshire 03110-7059.

Rules and Regulations/Complaint Procedure:
Human nature being what it is, we have to have Condominium Rules. Please see the Rules and Regulations page for more details. They are designed to protect and maintain the common property and to protect everyone's right to the peaceful enjoyment of their own property.

If you have a complaint about a violation of your Rules and Regulations that needs to be addressed by the Association, it is recommended to put your concerns in writing and send to the Management office. Once your letter is received, the association manager will bring your concern to the Board of Directors. This will then be discussed and a resolution will be determined based on the contents of your association's legal documents.

Insurance:
One of the larger items in our budget is insurance. Briefly, we are covered for replacement cost of property loss from multi-perils, except your personal property; public liability for personal injury and property loss in the common area; a fidelity bond covering our management company, and liability covering the Board. You individually should have, from your own insurance company, homeowner’s insurance or similar coverage. It is recommended that you speak with your personal insurance agent to ensure you have proper insurance coverage. Any unit improvements exceeding $1000.00 needs to be sent in writing to the management company for insurance recognition.

Trash Disposal:
Trash pick up is one of our special situations that need constant attention. The contractor is only responsible for picking up and emptying the container. Any trash on it or on the ground will stay there. If it is a pigpen, it is OUR pigpen. Please help us to maintain the cleanliness of your community. To save on costs, please breakdown boxes and large rubbish.

Transfer Station:
The Transfer Station is located on Ash Swamp Road in Newmarket. Hours are Saturdays from 7 a.m. – 4 p.m. Coupons must be purchased from the Town Clerk’s Office (Monday through Friday 9 a.m. – 4 p.m.) or The Communication Center (Saturdays). Cost for the coupon will depend on the items being taken to the transfer station. A list of acceptable items will be given out when a coupon is purchased.

Maintenance:
As homeowners we all experience the need for maintenance from time to time. The maintenance department associated to the management company is there for our needs. Please contact them for your maintenance needs. A scheduled time will be set to address your maintenance problem. If you experience something of an urgent nature please call the Evergreen Management office (see contact information). Work request forms are mailed quarterly to all owners. For more details, please see the maintenance chart, which breaks down the items either the Unit Owner or Association are responsible for.

Pet Owners:
Your pets are an important part of your family. Please be sure to register them with the management office and enclose the most recent copy of veterinarian shots. An annual assessment of $50, said sum to be used specifically for payment of damages caused by unidentified pets, is to be paid for at transfer of ownership of said unit.
